Privacy Policy
Effective 01 May, 2026
ConsultaBid of Houston, Texas (“Consultabid”, “we”, “our” or “us”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, store, disclose and protect information when you visit our website, contact us, upload documents, or use our services. By using our website or services, you agree to the practices described here.
1. Introduction
Consultabid provides data-driven home repair cost estimates based on information contained in home inspection reports and general market data. Our service is designed to help buyers, sellers and real estate professionals better understand potential repair costs and make more informed decisions during the home purchasing process. This Privacy Policy applies to everyone who accesses our website, submits information, or communicates with us.
2. Information We Collect
We may collect the following types of information:
- Personal information such as your name, email address, phone number, and other contact details you provide.
- Property-related information such as property address, inspection date, estimate date, and report content.
- Documents and files you upload, including home inspection reports, images, scans, and related materials.
- Communication data such as messages, questions, feedback, and customer support inquiries.
- Transaction data such as the fact, amount and date of a payment and its reference number. We do not receive or store your full card number; payments are handled by our payment provider.
- Technical data such as IP address, browser type, device information, pages visited, and cookie-related data.
We do not seek sensitive personal data as that term is defined under Texas law — health, biometric, precise geolocation, or racial, religious or citizenship information. Please do not include it in a document you upload or a message you send us.
3. How We Collect Information
We collect information in the following ways:
- When you fill out a form on our website.
- When you email us at info@consultabid.com.
- When you upload a home inspection report or related document.
- When you browse or interact with our website.
- Through cookies, analytics tools, and similar technologies that help us understand how visitors use our site.
4. How We Use Your Information
We use collected information to:
- Generate and deliver repair cost estimates.
- Review and analyze home inspection reports.
- Communicate with you about your request or service.
- Respond to inquiries and provide customer support.
- Take payment and keep accounting records.
- Improve our website, services, and user experience.
- Monitor usage trends and maintain website security.
- Send service-related updates or important notices.
We will not call, text or email you for marketing purposes unless you have asked us to. Messages about an order you have placed are service messages, not marketing.
5. Purpose of Processing
We process your information to provide the Consultabid service, which transforms inspection reports into practical repair cost insights. We also use information to improve estimate quality, support negotiation-related decision-making, and maintain the functionality and reliability of our website.
6. Legal Basis for Use of Information
Where applicable, we process personal information based on:
- Your consent, when you submit information or contact us voluntarily.
- Performance of a service, when we use your information to generate an estimate or respond to your request.
- Legitimate business interests, such as improving our website, securing our systems, and preventing misuse.
- Legal obligations, when disclosure is required by law or regulation.
7. How We Share Information
We do not sell your personal information, and we do not share your report with other customers, lenders, real estate agents, contractors or marketers.
We share information only with service providers who process it on our behalf, under contract, and only for the purposes we authorise. Those providers fall into four categories:
- Website hosting and email delivery — to run the site and send you your report.
- Payment processing — to take payment. Our payment provider receives your card details directly; we do not.
- Automated analysis of inspection reports — see section 10.
- Analytics — to understand how the website is used.
We may also disclose information when required by law, legal process or government request; to protect our rights, property, safety or users; or in connection with a business transfer, merger or similar corporate event.
8. Data Retention
We keep information only for as long as we need it:
- Uploaded inspection reports and the estimates generated from them — 24 months from delivery, then deleted.
- Contact and enquiry records — 24 months from your last contact with us.
- Transaction records — for as long as tax and accounting law requires, currently at least four years.
You can ask us to delete your report sooner; see section 12. After deletion we may keep a minimal transaction record — date, amount and reference — for accounting purposes.
9. Cookies and Tracking Technologies
Our website may use cookies and similar technologies to improve user experience, analyze website traffic, remember preferences, and help us understand how visitors interact with our site. You can manage cookie settings through your browser, though disabling cookies may affect some website functionality.
Where your browser sends a Global Privacy Control (GPC) signal, we honour it and treat it as an instruction to opt out of any sale of personal data and of targeted advertising.
10. Automated and AI-Assisted Processing
To produce your estimate, the content of your inspection report is processed by automated systems, including an artificial-intelligence service operated by Google LLC under a commercial agreement.
That provider processes the report only to return the analysis we ask for. It is contractually prohibited from using your report for any other purpose, and under the terms of that agreement it does not use it to train publicly available models.
A person at Consultabid reviews the output before your estimate is delivered to you. If you would prefer your report not to be processed by an automated service, contact us before uploading and we will tell you whether we can accommodate that request.
11. Data Security
We take reasonable technical and organizational measures to protect your information from unauthorized access, loss, misuse, alteration, or disclosure. Access to uploaded reports is limited to the people who need it to produce your estimate. However, no online system is completely secure, and we cannot guarantee absolute security.
If a security breach affects your personal information, we will notify you without unreasonable delay and no later than 60 days after we determine that a breach has occurred, and we will notify the Texas Attorney General where the law requires it. Please contact us at info@consultabid.com if you believe your data has been compromised.
12. Your Rights and Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Request corrections to inaccurate information.
- Request deletion of your information, where permitted by law.
- Obtain a copy of your information in a portable format.
- Opt out of the sale of personal data, targeted advertising, or profiling. We do not sell personal data or serve targeted advertising.
- Withdraw consent where processing is based on consent.
- Appeal a decision if we decline your request.
To exercise any of these rights, email info@consultabid.com with the subject line “Privacy Request”. We will respond within 45 days, and may extend once by a further 45 days where reasonably necessary — if we do, we will tell you why. There is no charge, and making a request will never affect the service you receive.
If we decline a request you may appeal by replying to our decision, and we will respond within 60 days. If we deny the appeal you may contact the Texas Attorney General at texasattorneygeneral.gov.
13. Third-Party Links
Our website may contain links to external websites, including service partners or related resources. We are not responsible for the privacy practices, content, or policies of third-party websites. We encourage you to review their privacy policies before sharing personal information.
14. Documents About Other People’s Property
An inspection report usually describes a property you do not own and is normally prepared by an inspector who holds copyright in it. When you upload a report you confirm that you are entitled to share it with us for the purpose of obtaining an estimate. We treat every report as confidential and use it only to produce your estimate.
15. Age
Our services are intended for adults. You must be at least 18 years old to use Consultabid, and we do not knowingly collect personal information from anyone under 18. If we learn that we have, we will delete it.
16. Users Outside Texas and Outside the United States
We are based in Houston, Texas, and our services are directed to customers in the United States. If you access our website from outside the United States, your information will be processed and stored in the United States, where data protection law may differ from the law of your own country.
17. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or business practices. Any update will be posted on this page with a revised effective date. If a change materially affects how we use information you have already given us, we will email you before it takes effect. Continued use of our website after changes are posted means you accept the updated policy.
